Trust is at the heart of everything we do at Lapland. Just as you trust us with your Christmas memories, so we seek to maintain your trust in our handling of your personal information. For us, that means treating your information with the care and respect it deserves and giving you full transparency over the data we collect and how we use it.
The information we collect and how we process it depends entirely on your activities and interaction with us. It follows that different Lapland entities may collect and process your personal information in different ways. The entities in the Lapland group of companies (Lapland Group) who may process your personal information are as follows:
- Lapland London Limited;
- Lapland Manchester Limited;
- Lapland Emporium Limited;
- Lapland Foundation;
- Lapland World Limited;
- Lapland Studios Limited; and
- Lapland Productions Limited (if you are a performer at one of our events or otherwise a supplier to the Lapland Group).

1. Overview
1.1 How do we obtain your personal information?
We collect data from you in a number of different ways, depending on how you interact with us. For example: when you sign up/register/join our mailing list; purchase tickets from us; purchase goods online from us or use our various media platforms such as our websites or apps. See also Section 2.
1.2 Which Lapland entities collect and process your personal information?
Again, this depends on your interaction with us. For example:
- when you buy tickets for one of our events, the Lapland entity running the applicable LaplandUK event will collect and process your registration to attend and your ticketing-related data. This is Lapland London for our Ascot event and Lapland Manchester for our Manchester event;
- Lapland Emporium will collect and process your data when you purchase goods online from us;
- Lapland Foundation may collect and process your data if you make a donation or engage with its charitable work;
- Lapland World collects and processes personal data when you interact with us via our online platforms (such as our websites and apps) or create an account with us. Lapland World also conducts our marketing activities. See Section 3;
- Lapland Productions may collect and process personal data relating to our performers and suppliers to the Lapland Group. See Section 3.
1.3 Who do we share your personal information with?
Naturally we need to share your information with other third parties who help us deliver your Lapland experience as well as the other services we provide. See Section 4.
1.4 How do we use your personal information?
This depends on which Lapland entity obtained your data and for what reason. For example, our events companies (Lapland London and Lapland Manchester) will use your information to deliver your magical LaplandUK event experience and related services. Lapland Emporium will use your information to process an order for any products you seek to purchase through the Lapland website/other platforms; and Lapland World will process your information to provide you with Lapland news and marketing as well as digital and other media services. 2. How do we obtain your personal information?
There are many ways in which we collect your personal information and then store it on our relevant databases, or those of our third-party service providers. Our aim is always to give you the best possible experience and to respect and look after your personal information. The ways in which we collect personal information from you include:
- when you create an account with us or register to attend one of our events. This includes information for accessibility and health and safety purposes. Where we collect information about children to enhance their Lapland experiences, we always do so with parental consent and for the reason we have described to you;
- when you purchase tickets from us or register for pre-sale. This includes contact and address information as well as payment and card information;
- when you contact our customer support teams. This includes information to support you with your query or help address any issues you may have;
- when you place an order from our online store;
- when you share information with Lapland Foundation or help support its charitable activities (eg through donations, volunteering or fundraising). Lapland Foundation may also collect your personal information indirectly through third party fund-raising websites (eg where you have made a donation through such a website and chosen to share your personal information with Lapland Foundation);
- when you consent to receive news about Lapland events and experiences and to marketing from us. See Section 5;

- if you provide your personal data in connection with your provision of services to the Lapland Group (eg performers or suppliers).
3. Which Lapland entities collect and process your personal information?
This depends on which Lapland entity you are engaging with:
- Lapland London: Lapland London runs our Ascot event. When you register to attend an event there (whether by purchasing a ticket or receiving a complimentary ticket), Lapland London will collect and process your personal data to provide you with your Lapland experience and services related to your attendance.
- Lapland Manchester: Lapland Manchester runs our Manchester event. When you register to attend an event there (whether by purchasing a ticket or receiving a complimentary ticket), Lapland Manchester will collect and process your personal data to provide you with your Lapland experience and services related to your attendance.
- Lapland Emporium: Lapland Emporium operates our online store and is responsible for the sourcing and selling of our products online.
- Lapland Foundation: Lapland Foundation is our very own charity. When you donate, fundraise, volunteer, support or attend a Lapland Foundation event or otherwise engage with Lapland Foundation, it will collect and process your personal data.
- Lapland World: Lapland World operates and runs our digital platforms, including all our websites and apps, as well as our marketing activities.
- Lapland Productions: Lapland Productions engages performers at our events as well as other suppliers to the Lapland Group. Lapland Productions also runs our ‘Lapland Community’, being a community of those performers and suppliers who wish to stay connected with the Lapland Group and others within the Lapland Community.
- Lapland Studios: Lapland Studios helps create and develop our Lapland characters, stories and content.
4. Who else do we share your personal information with?
Other entities we may share your personal information with include:
- the Lapland Group of companies to provide our services to you. This includes customer and technical support, reporting, profiling and marketing;
- third parties who help us deliver your Lapland experience as well as the other services we provide. These third parties may include:
- payment platforms who help us process payments;
- providers of information security services who help us protect your data;
- customer support teams to help you with your queries;
- courier and delivery companies in order to deliver products you have ordered;
- cloud hosting companies who provide the platforms through which are online and digital services operate;
- fulfilment centres/houses who will help deliver your Lapland experience (including through invitations);
- fundraising agencies and companies (as part of Lapland Foundation’s charitable activities);
- other third parties who may become engaged with the operation of our business, including professional advisors such as lawyers, auditors, accountants and insurers, if necessary, as part of the professional services they perform for us;
- government and regulatory bodies, as well as fraud protection agencies, as may be required or permitted by law;
- corporate investors and partners in the event of future investment or part sale of any of our Group companies.
In all cases, we seek to protect your personal information in accordance with law and put in place the necessary protections to enable this.
5. How do we use your personal information?
We use your personal information to help us provide our Lapland experiences and related services to you. These may include:
- enabling and enhancing your attendance at our events, whether through ticket purchase or a complimentary ticket. This includes: processing your order attendance details; taking payment; customer support; and contacting you with attendance confirmation and reminders. - processing payments by you, for both tickets and other purchases you make from us. Our legal basis for processing: the performance of our contract with you;

- news updates and marketing, where this is permitted by local laws, including where you have consented to receive these. 6. What personal information do we collect?
The different kinds of personal information about you which we may collect, use, store and transfer include the following:
- identity data such as your first name, last name, image, registration number, identification documents (eg your driving licence, passport or birth certificate), national insurance number, proof of address documents (eg a utility bill, council tax bill or polling card), job title and company;
- contact data such as your email address, home address, telephone number, emergency contact information, and professional and/or social network contact details;
- financial data which may include: (i) credit card and/or billing information so that we can take payment from you and verify your address details; (ii) Unique Taxpayer Reference number, tax codes or other information required by HMRC; and (iii) your bank details so that we can pay for the services you provide to us (if this is part of the contractual arrangements between us);
- information as to whether you are a UK taxpayer, so Lapland Foundation can seek to claim gift aid for any donation you make to it;
- transaction data such as information about payments and details of purchases you have made;
- technical data such as your internet protocol (IP) address, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access this website;
- usage data which may include information about how you use our website;
- if you are a performer at one of our events, performer data such as your full name, performer name, name and contact details of your agent and/or manager;
- special category information, such as race and ethnic origin;
- marketing and communications data, including your preferences in receiving marketing or other communications from us;
- criminal convictions data, including information about criminal convictions proceedings or investigations, court orders, or court proceedings;
- health data, which includes information about your health or disability.
7. Your rights over your personal information
Subject to any exemptions provided by law, you may have the right to:
- request access to your personal information (commonly known as a “data subject access request”) and to certain other supplementary information that this Privacy Policy is already designed to address;
- request correction of the personal information we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected;
- request erasure of your personal information. This enables you to ask us to delete or remove personal information where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal information where you have exercised your right to object to processing (see below);
- receive the personal information concerning you which you have provided to us in a structured, commonly used, and machine-readable format and have the right to transmit those data to a third party in certain situations;
- object to processing of your personal information at any time for direct marketing purposes;
- object to decisions being taken by automated means which produce legal effects concerning you or which significantly affect you;
- object in certain other situations to our continued processing of your personal information;
- request the restriction of processing of your personal information. This enables you to ask us to suspend the processing of personal information about you, for example if you want us to establish its accuracy or the reason for processing it;
- withdraw your consent to our processing of your personal information, where we have collected and processed it with your consent.
You will not have to pay a fee to access your personal information (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive, or excessive. Alternatively, we may refuse to comply with your request in these circumstances.
Among other rights, you can choose whether to receive marketing from us. You also have the right to access the information we have about you.
8. Our data security
We have implemented generally accepted standards of technology and operational security to prevent personal information from being accidentally lost or used or accessed in an unauthorised or unlawful way. We limit access to your personal information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.
We also have procedures in place to deal with any suspected data security breach. We will notify you promptly in the event of any breach of your personal data which might expose you to serious risk.

Where there is a need to transfer your data outside of the UK or European Economic Area (EEA) we will ensure that the relevant and appropriate safeguards are put in place as required by English law.

We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for purposes of satisfying any legal, accounting, or reporting requirements. To determine the appropriate retention period for personal information, we consider the amount, nature and sensitivity of the personal information, the potential risk of harm from unauthorised use or disclosure of your personal information, the purposes for which we process your personal information and whether we can achieve those purposes through other means, and the applicable legal requirements.
